JOB DETAILS:
Job Purpose (also called job summary) Describe in summary the objective why this job exists:
• To oversee and manage every stage of the culinary & stock production flow, from purchasing raw materials to the delivery of the semi-finished & final product across
• Implement sound purchasing policies, systems, and procedures in accordance with Company standards.
• Monitor vendors for quality, service, and price through standard purchasing specifications.
• Obtain competitive quotations for chicken tonight requirements and ensure that the best product is sourced and purchased.
• A minimum of three independent genuine quotations must be obtained.
• Receives market list from the Executive Chef daily and arranges for delivery of those items daily.
• Establish Minimum / Maximum stock levels approved by the finance manager/Managing director.
• Checks and explain if needed and approves delivered items discrepancy report issued regarding price and quantity order variances.
• Verify the ‘pending orders’ report daily, and all pending orders are checked and verified regularly.
• Responsible for physical control of all store items until issued, fully documented under strict control procedures (key control, timing schedule, authorized issue requests).
• Responsible for monthly store stock takes
• Responsible for monthly stores stock movement variances and explanations

Duties and Responsibilities:
1. Stock Management
• To manage & track company purchase targets with each supplier and ensure targets are achieved.
• To enforce and ensure management’s internal controls on stock from and into the stores at all locations are effected and to report on or advise on any additional control to be effected on this regard.
• Receiving & analyzing branch orders avail transport to deliver the product, coordinating its receipt by the branch, overseeing of the warehouses, storage facilities.
• To be responsible for transfers of stocks from head office Warehouse to the respective branches and ensure optimum stocks are kept at these locations within the appropriate storage.
• To analyze the condition of stocks at all locations and advise management early in time on any items with short expires, devise means of ensuring these are minimized, and ensure a report of the same is provided to management for action on a monthly basis.
· To analyze orders to suppliers and advise management on the optimum quantities of stocks to be ordered per category.
· To ensure sufficient stocks are kept at all locations in order to maintain growing sales and follow up on demand forecasts for the individual projects.
· To supervise monthly stock- Takings at all locations and ensure all stock records are duly updated both physically and in computerized systems at all locations at all times.
· To enforce efficient and effective adherence to stock receipt/dispatch procedures at all locations of the organization.
· To ensure an effective communication system between CTN and suppliers as well as staff regarding new products, products discontinued, short expires and damaged products.
· To supervise alongside with the Accounts team, the weekly reconciliation of Stock taking exercise.
· To follow up on goods in transit, clearing /shipping updates of goods, follow up on export documents from suppliers and administer the receiving of all consignments and ensuring appropriate documents are received /made.
· To pro-actively check all relevant documents prior to entry into the ERP system as well as maintaining accurate stock records
· To ensure consignments from our suppliers are appropriately received before they are captured in the ERP system
· Ensure timely processing of system adjustments in regard to the disposed quantities of expiries/damages and quality issue related products

3. Returns & Quality issues Measures
· To ensure the branch team understand the return & freshness policy
· To monitor and track all the quality issues and ensure all quality issues are sorted out.

4. Fleet Management
· To ensure company properties especially stock and Fleet are kept safe at all times and that the stores are closed properly, stock is in good condition and all physical controls on stocks are strictly observed on a daily basis
· To ensure the company fleet is properly maintained, serviced and is in good condition ready for duty at all times.
· To manage the itinerary of the company fleet and ensure that the drivers are well facilitated with working tools needed to deliver to the company expectations in record time.
· To advise management on fuel consumption and fuel-saving strategies by administering all Logistics and supply chain activities in order to maintain a sustainable fleet.
· To ensure the branches and fleet are kept clean at all times.

5. Order Process Management
· Ensure order placements to our local & international suppliers as well as forecast demand for forthcoming seasons in order to build up inventory in the run to such periods
· Co-ordinate branches/outlets ordering and ensure timely deliveries are made to guard against loss of sales due to branch Stock outs.
· Liaise with suppliers on matters related to stock availability, quality concerns, targets, performance progress, order placement as well as timely loading of consignments at their premises.

6. Supplier Claims Reconciliations Management
· Ensure preparation of claims to respective suppliers for the value lost in disposed goods
· Co-ordinate supply chain partners (transporters, clearing agents, forwarders etc.) for timely handling and clearance of consignments as well as timely communication of eventualities to respective authorities for support.

7. Staff Management
· To train and develop the Logistics and Supply chain developmental staff in order for the company to make the best use of their maximum potential in ensuring the company goals are achieved
· To appraise the logistics and supply chain department team on a quarterly basis and provide management with the appropriate advice
· To participate in Recruitment, induction and training of new staff into the department.
· To offer product knowledge to all staff about the products in the store and ensure all staff are aware of all the product range available.
· To handle any grievances, manage attendance and leave trackers in your team

8. To perform any other duties as assigned by your Line Manager/MD

Expected Reports
Weekly/Monthly
· Stock Status/Valuation Report per Branch – Weekly/Monthly
· Slow moving stocks status by item and Value – Weekly/Monthly
· Stock taking results and Variance Reconciliation Status Report – Weekly/Monthly
· Status/Physical Appearance Report of Warehouse & branches
· Short Expiry, Lost goods due to expiries & Damages/Returns from Branches
· Monthly presentation to management.

Financial Responsibility (Describe any responsibilities the job holder may have for managing budgets or financial expenditures): ·
• Responsible for organization’s biggest asset (stock).
• Responsible for entire organization fleet.
• Responsible for stock procurement from all organization principal suppliers.

Person Specification
Education & Training (Describe the level of academic training required for the position and any other essential training or qualifications required for the job):
1. Degree in Logistics & Supply Chain Management, Engineering, a Business Degree or any other relevant field
2. Post Graduate Qualifications in Supply Chain Management e.g. CIPS
3. Demonstrated problem-solving, organizational, analytical and business management skills
4. Computer literate: Microsoft Office Suite Proficiency (Word, Excel, PP)
5. Knowledge of food safety (HACCP), sanitation and overall workplace safety standards.

Skills & Experience (Describe the specific previous work experience and competences required for the job, including the duration for which the experience should have been obtained e.g. 2 years’ previous work as a VIP driver)
1. Have a thorough understanding of stock procedures, controls with experience in executing FIFO & LIFO stock management procures
2. Experience in Management of Stores & Warehousing
3. Experience in coordination of multiple activities
4. Availability to work onsite with a flexible schedule including evenings, weekends, and holidays
5. Experience in management of health & safety
6. Must possess knowledge of business and management principles, planning, resource allocation, human resources, leadership and coordination of people and resources
