General Position Summary

The Business Development (BD) Operations Lead plays a critical role in optimizing and coordinating the operational functions of ForAfrika’s business development efforts across all country offices and the Global Support Office (GSO). The role ensures that internal systems, tools, documentation, and processes are efficient and aligned with strategic funding goals.

This position requires a detail-oriented, systems-driven individual with strong analytical and organizational skills, capable of navigating the complexities of business development in the international development sector. Key responsibilities include improving proposal management workflows, maintaining BD documentation, managing Salesforce data and reporting, ensuring compliance with donor requirements, and fostering collaboration across departments.

Key Roles and Responsibilities

Proposal Management & Operational Leadership

  • Serve as the lead in proposal operations, coordinating across country offices to ensure timely, efficient, and high-quality proposal submissions.
  • Act as the central point of contact for business development operations, facilitating communication and collaboration across proposal teams.
  • Develop and maintain standard operating procedures (SOPs) and tools for business development activities, ensuring organizational consistency and donor compliance.
  • Oversee the preparation and quality control of capability statements, annexes, past performance documentation, and other supporting materials.
  • Track proposal progress, timelines, and deliverables, providing reminders and support to ensure deadlines are met.

Systems, Reporting & CRM Oversight

  • Manage business development tracking systems and tools, including Salesforce and other CRM platforms.
  • Maintain and update all opportunity pipelines, ensuring accurate and up-to-date information.
  • Analyze business development data, including win/loss metrics, submission trends, and proposal outcomes.
  • Generate regular and ad hoc reports to inform decision-making and measure performance against BD targets.

Knowledge Management & Team Coordination

  • Collect and organize critical institutional documents and knowledge assets for proposal development.
  • Facilitate the integration of data and insights across departments to support cohesive, efficient BD processes.
  • Ensure the archiving of all proposals, donor communications, and feedback for future reference.
  • Collaborate with technical, finance, and program teams to align proposal content and priorities.

Capacity Building & Training

  • Support onboarding and continuous capacity development of BD staff and proposal contributors across the organization.
  • Provide training on BD tools, systems, SOPs, and best practices to ensure staff can contribute effectively.
  • Mentor junior team members to promote skill development and professional growth within the BD function.

Qualifications and Skills

  • Education and Experience:
    • Bachelor’s degree with 10+ years of experience OR Master’s degree with 8+ years of experience in business development operations, preferably in the international development or humanitarian aid sectors.
    • Extensive experience managing complex proposal development processes and coordinating multi-stakeholder inputs.
  • Donor Knowledge:
    • Strong knowledge of donor regulations, including FCDO, EU, UN agencies, and other institutional funders.
  • Skills:
    • Demonstrated ability to analyze and interpret business development metrics to improve systems and outcomes.
    • Proven success in implementing process improvements and optimizing workflows.
    • High proficiency in Salesforce or similar CRM platforms, as well as Microsoft Office Suite (especially Excel and SharePoint).
    • Excellent interpersonal, communication, and facilitation skills with the ability to build trust and collaborate effectively across cultures and functions.
    • Highly organized with strong attention to detail, ability to multitask, and meet deadlines in a fast-paced environment.
    • A proactive, solutions-focused mindset with a commitment to continuous learning and improvement.

Special Requirements

  • Must overlap with Africa Standard Time (AST) by at least six (6) hours.
  • Shortlisted candidates will be expected to provide writing or process documentation samples.
