Background
We are looking for a dynamic, enthusiastic and highly qualified person to fill the position of People and Culture Assistant.
Job Summary
The People & Culture Assistant with the guidance of the People and Culture Manager serves as a coach and a resource to managers and employees in solving day-to-day workplace matters and is responsible for the delivery of high-quality HR Services while providing a consistently great employee experience, driving continuous improvement in systems, processes, and data optimization, while effectively managing compliance. The job holder is a key partner in the process and administrative activities related to recruiting, learning & development, performance management and succession planning.
Responsibilities
HR Service delivery:
- Assist in providing guidance to employees, managers, business leaders regarding HR Policies and practices, and employment related matters.
- Assists as a point of contact and advisor on operational HR cases related to day-to-day workplace matters and activities such as recruitment, payroll, benefits, leave, wellness, onboarding/offboarding, HR administration, performance, training, and expatriate management.
- Supports the contracting of consultants and ensures delivery against Service Level Agreements (SLAs) on various key routine and ad hoc deliverables.
- Work closely with the People and Culture Manager to resolve complex cases.
- Coordinates UCO people and culture events in line with the annual HR plans.
- Work with the P&C Manager to design, review, and maintain up to date job descriptions.
Employee Relations & employee engagement:
- Support the investigation of queries, complaints, concerns regarding employment practices.
- Support in resolving general employee relations issues in a timely and professional manner ensuring fairness and consistency.
- Work closely with the P&C manager to build positive employee experiences at each stage of the employee lifecycle, from onboarding to offboarding.
- Collaboratively participates in disciplinary processes and case management tracking.
- Support the administration and action planning of different Employee surveys.
- Work with the People & Culture Manager and Internal Communications experts on crafting and transmitting staff communication on various employee engagement interventions.
Data Management and Reporting:
- Maintain accurate employee and candidate records in the HRIS.
- Support HR Processes and train staff on ESS resources as needed from time to time.
- Support with producing value-added HR reports in a timely manner.
- Support the collation of HR metrics and dashboards.
- Monitor the execution of administrative work related to physical files and records, managing the full migration to e-filling.
Qualifications and Experience
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1-2 years of experience in administrative support and/or human resources functions, preferably in a nonprofit or international organization.
- Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS systems.
- Knowledge of labor laws, HR best practices, and employee relations principles.
- Certification in Human Resources (e.g., SHRM, CIPD) is a plus.
Required Qualifications:
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills, with a customer service orientation.
- Experience in recruitment coordination and onboarding processes.
- Familiarity with nonprofit administration and environmental conservation issues.
- Ability to handle confidential information with discretion and integrity
