JOB DETAILS:Administrative Assistant
Introduction:
The Famine Early Warning Systems Network (FEWS NET) is an integrated set of activities funded by the United States Agency for International Development (USAID) intended to provide timely, accurate, evidencebased, andtransparent food security early warning information and analysis. Created in 1985 in response to famines in Eastand West Africa, FEWS NET provides global coverage through a mix of presence and remote monitoring. FEWS NET's work is implemented across several pillars by a team of partners that includes NASA, NOAA, USGS, Kimetrica, and Chemonics International (Chemonics). Chemonics implements FEWS NET's integrated emergency food insecurity analysis through a Washington-based technical office and more than 20 field offices.
Based on in-depth understanding of local livelihoods, FEWS NET analysts monitor information and data on factors that affect food security, such as weather conditions and climate, crops, pasture, markets and trade, and nutrition. FEWS NET produces regular reports, including Food Security Outlooks and Outlook Updates, emergency alerts, market and price updates, and global weather hazards. FEWS NET makes reports available at www.fews.net and distributes them globally to governments, relief agencies, and other organizations engaged in humanitarian response and development programs.
The seventh phase of FEWS NET (FEWS NET 7) began in 2019 and relies on close collaboration with international, regional, and national partners on food security analysis and reinforcement of food security networks. Major activities include joint monitoring and assessments, data exchanges, collaborative analysis and report writing, and technical capacity strengthening. FEWS NET supports local and regional food security networks to contribute to achieving the global objective of food security for all.
Position Description
The Administrative Assistant (AA) serves as a member of the administrative support team on the FEWS NET project. Job responsibilities concentrate on supporting the Office Manager/Accountant (OM/A) and Country Representative to facilitate the administrative and financial operations of the FEWS NET office. The AA will also be responsible for backstopping the OM/A when he or she is on leave.
Responsibilities
The main responsibilities of the AA include, but are not limited to:
• Provides administrative support to the project and assists the OMAO with record-keeping and bookkeeping.
• Develops and maintains required administrative office systems.
• Assists the OM/A with handling the petty cash account.
• Scans all the finance and administration files and keep the electronic filing system.
• Maintains project office files to ensure that all correspondence and documents are properly copied and filed in accordance with the filing system.
• Maintain tax records and trackers and report taxes in a timely manner.
• Prepares all necessary administrative forms for project-related items.
• Oversees the purchase of office supplies and other related items.
• Maintains travel records and trackers including, but not limited to, air tickets, ground transportation, hotel reservations, and visas.
• Maintains inventory tracker and oversees the maintenance of office equipment
• Oversees the vehicle logbook and ensures that the vehicle is properly maintained.
• Maintains trackers and ensures that the leave records are properly maintained in personal files.
• Performs other ad-hoc tasks that may arise.
Qualifications:
• Proficiency in written and spoken English is required.
• A bachelor's degree in Accounting, Finance, Business Administration, or related field is required. Significant, directly related professional experience can substitute for education experience.
• A minimum of three (3) years of relevant experience in an equivalent position.
• Prior international donor project experience is preferred.
• Familiar with MS Word, Outlook, PowerPoint, and Excel software.
• Possesses excellent organizational and multi-tasking skills. Strong communications and interpersonal skills.
• Ability to perform well with minimal supervision.
• Ability to prioritize work assignments to foster timely work completion.
Location and Reporting
The AA position will be based in Kampala, Uganda at the FEWS NET EWT national office and is directly supervised by the OMIA. For office administration and financial management, the AA will work directly with the OM/A to collaborate with the Country Representative, the Washingtonbased Project Management Unit, FEWS NET EWT Operations Team, and the Senior Management Team.

Purpose
To provide strategic leadership and management, Risk Assurance and high-level oversight in the implementation of HOSFA mission, policy decisions and strategic plans in order to achieve the organization's mandate
Responsibilities
• Collaborate with the board of Directors to identify, create and implement strategic plans to actualize company/HOSFA objectives.
• Timely preparation and provision of periodic and annual progress/status reports including audited accounts to the Board and presentation of required Committee reports and high quality reports to Board
• Identify, recruit, train and develop a talented team of employees who can lead critical departments and manage strategic business functions.
• Monitor financial operations and ensure controls and accountability processes for all company resources that are in place.

Qualifications and other eligibility requirements
• A minimum of a Master's degree in Management studies/ Business Administration or related field from a recognized Institution, a Bachelors degree (Hon) in Arts or Humanities from a recognised University. A Certificate in Administrative law shall be an added advantage.
• Minimum of 5years' practical experience two (02) of which MUST have been at Senior leadership or Management Position(s) in a reputable organization
• Excellent people leadership and strategic management skills, strong, communication, presentation and negotiation skills; Superior Problem solving and decision making competencies; ICT skills (MS Word, Excel, PowerPoint, and internet applications among others).
• High moral character and proven integrity, innovative, creative and self-driven with superior capacity to manage organizational risks
• Demonstrable Business acumen / entrepreneurial skills and exposure to the management of donor projects.
• Demonstrated excellent leadership, human resources management, communication and organizational management skills, strategic planning, solid understanding of M&E.

JOB DETAILS:Job Summary
To strengthen community systems at cluster level, ensure retention of clients in HIV care, provide psychosocial support at facility level, work with the district structures to implement programs for teenage mothers.
Overall Responsibilities
1. Work with the cluster teams to develop annual and quarterly cluster work plans and budgets for implementation of community health activities and ensure integration of community-facility framework activities in the health facility sub-grant work plans and budgets, in line with Baylor-Uganda Financial Guidelines and regional Community Plan
2. Support and develop the capacity of CBO’s, PLHIV forums and District Health teams to implement the community facility framework and ensure that HF-CBO interface meetings are held on a monthly basis.
3. Support the CSOs/CBOS to implement HIV/AIDS/TB results-based financing programs and monitor progress in line with agreed upon targets and indicators.
4. Ensure community cluster activities are implemented and all documentation is updated in time; use of CSO follow up tools and provide onsite technical support.
5. Support the implementation of OVC activities including HIV prevention activities for AGYW.
6. Work with the district and sub-county structures to map stakeholders working on teen health (education, health, community), identify teenage mothers and support service provision of adolescent-girl centred approaches.
7. Identify and continuously update the project team on emerging issues in OVC programming, alignment to national strategic plans and policy directions as well as on compliance to the child protection and child safe guarding policies.
8. Ensure timely reporting and submission of all implementation activity reports on key project performance indicators to key stakeholders including the district and supervisors.
9. In collaboration with the health facilities and CSOs, develop and monitor implementation of strategies to track clients who miss appointments and those who are lost-to-follow-up (LTFU) and strengthen existing patient tracking mechanisms in order to improve retention of clients in HIV/TB care in all facilities.
10. Work with the care and treatment team to support the HFs and CBOs to increase uptake of Community Differentiated Service Delivery (DSD) approaches, including CCLAD and CDDP, among patients in HIV and TB care.
11. Work with the Community M&E Officers to ensure timely tracking and reporting of key performance indicators.
12. Work with stakeholders to evaluate the community interventions in line with Baylor Uganda policies.
Required Qualification, Experience and Competencies:
• A Bachelors’ degree in Humanities (Development Studies, Community Psychology/Community Development, Social Sciences, Social Work and Social Administration) and any related discipline from a recognized institution of learning.
• At least 3 years of experience working community programs for HIV and TB services with focus on improving retention of clients in HIV care and HIV prevention among AGYW.
• 3 Years Relevant Experience

Job Description
• Receipt of complaints: Receive clients query/complaint against via email, telephone, Actionline or any other complaints logging channels. Advise accordingly and appropriately.
• Capturing and assigning complaints: Log the query/complaint on the Complaints Management System, according to acceptable standards, and load all appropriate customer information received via fax, email and/or verbally.
• Facilitation of Complaints process: Draw reports from complaints management system and manage exception reports on a daily and filter relevant information, address outstanding and/or unresolved information.
